How to Provision Users

There are several ways to provision users into CloudCard. This article is designed to explain the different methods available, so you can utilize the one(s) that work best for your situation! 

You will want to click on “People List” from the dropdown menu on the left. You will see two options under the People List. +Add and Bulk Import.

Bulk Import 

The Bulk Import or Bulk Action method is how CloudCard provisions users right out of the box. It's a simple process, available on all of our plans, that allows you to create multiple users at one time. When you click on the Bulk Import button, you will be asked to upload a CSV file containing the people you wish to import. Visit our Bulk Action article to walk you through this process.

Add Individually

You can also add users individually. Just click the "Add" button, enter the users email address, and hit "Save" to create the user and send out an invite. Click here for an interactive tutorial

This method of provisioning is often used in one-off situations. For example, a cardholder walks into the office and asks for a photo invite. If they were already created through the bulk import process, the administrator can find their account and resend and invite to that cardholder. If not, then adding the cardholder as described above is the best solution.

Tip: If your just getting started with CloudCard, this is a great way to create accounts for staff members. Just make sure to give them the necessary roles for the application. Once those are assigned, send them a link to reset their password and they will be processing photos in no time!

Single Sign-On

CloudCard can work with your IdP to provision cardholders through Single Sign-On. The application can integrate with any IdP that support SAML 2.0.

First, we set up a Photo Submission URL for your organization. This URL will send users to your organization's IdP login page. They will be asked to enter their SSO credentials to login and submit a photo for their id card. You can put this Photo Submission URL anywhere. Take a look at how Rutgers created an Online Photo Submission webpage and included their Photo Submission URL on the page in the form of a "Upload Your Photo" button. 

The CloudCard API

If your organization is a little more technical, you can create cardholders through the CloudCard API. Here's the documentation detailing the exact code you'll need to create a person in the application. When creating a user, you can choose to send an email with CloudCard Login Links or your SSO Photo Submission URL. 

Request Access Page

Send users to the Request Access Page to provision their own account.

When users enter their email address, CloudCard will send a login link to their email inbox. You can specify your organizations domain name so only users with a matching email address can go to the request access page and create an account for themselves. 

Specify your organization domain name in the organization settings of CloudCard.
