Bulk Action

Bulk Action allows you to create a batch of users and send photo invitations to those users via email. You can also update, archive, restore, anonymize or delete a batch of users. The bulk import tool makes sure only the users you select are added to the system. This whole process only takes a few clicks so let's buckle up and get right to it! 


Generating a CSV file

The bulk import requires that you upload a CSV file. Generating a CSV file typically occurs through your organizations Information System. A few things to remember when creating your CSV file: 

  1. CloudCard will provision accounts for all the people included in the CSV file. 
  2. The header rows of the CSV file must match the custom fields in CloudCard. 
  3. All that CloudCard needs included in the CSV file is the cardholders email and identifier (or ID number).

Uploading the CSV File

From the People List, click on the Bulk Import button.

Click on the upload section to upload your CSV file here.

Scroll down to the section pictured below. Here is where you can decide what Bulk Action you want to take.

  • Send Invitations Emails To: Here you can select if you want to send Welcome Emails to New Users, All Users or No Users.
  • Default Action: Here is where you select what Bulk Action you are performing. You can Create and Update, Create, Update, Archive, Restore, Anonymize, or Delete.
  • Has Header Row: If your CSV file has header row, select Yes. If your CSV file does not have a header row, select No.

Before you click on the Upload button, scroll down to map your fields from your CSV file. You'll want to make sure you select the correct field from the drop down menu that matches the columns from your CSV.

Once your fields are mapped, you are ready to click Upload!


The Bulk Action process can take several minutes, but you do not have to keep that screen open while the file is uploading. You will receive an email when the Bulk Action has been completed!


Automating CSV Upload

If you are looking for a more automated approach to creating users and sending invites, you can utilize our open source Bulk Action Importer. You can find the entire project on Github here: https://github.com/online-photo-submission/bulk-action-importer. This project is designed to be run as a scheduled job and in conjunction with a scheduled report that saves a CSV of new cardholders in a preconfigured input directory, which essentially automates importing new cardholders in CloudCard.

Bulk import can be a powerful feature for your organization. Here are a few ways that you can get the most out of this capability: 

  • Use Bulk Action to provision users 
  • Use Bulk Action to send out photo invitation emails to large amounts of cardholders at one time. 
  • Use Bulk Action to decentralize your card office and create multiple photo upload centers around your organizations campus.
