Guide to Quicksight Reports

There are three tabs located within the Quicksight Summary Report:

  1. KPIs
  2. People Data
  3. Current Photo Report
  4. Cardholders
  5. Beta

This guide will help explain each tab and each column that you can find in the report.

  • KPIs (Key Performance Indicators)
    • Active Cardholders
      • Amount of cardholders within your organization that have been active in the past year
    • Approved Photos
      • Amount of approved photos within your organization within the past year
    • Denied Photos
      • Amount of denied photos within your organization within the past year
    • Approved & Denied Photos by Month
      • Visual chart to show how many approved / denied photos each month
    • Work Months Saved
      • Metric of how many ID office worker hours were saved by online photo submission approval (rather than having to take photos in person). Each photo works out to 2 minutes of office work saved minus a small amount for each photo denied. 
    • Student Semesters Saved
      • Metric of how much student time was saved by submitting photos online assuming a student saves 15 minutes of by uploading their photo online instead of standing in line (based off a semester of 75 class days, which are each 8 long)
    • Photo Status by Person
      • Chart showing user’s photo status
    • Photo Submissions
      • How many photos have been submitted in your organization
    • People with Photos
      • How many users have a photo in their record
    • First Photo Approval
      • How many photos were approved with the first submission
    • Invite Response Rate
      • What percentage of invitation emails resulted in a photo being submitted
    • HelperBot Classifications
      • Chart to show how HelperBot has classified the submitted photos
  • People Data
    • Person Data
      • identifier
        • User identifier i.e. ID number
      • email
        • User email address
      • custom_field_values
      • date_created
        • Date user was created
      • last_updated
        • Date user record was last updated
      • date_terms_accepted
        • Date the user accepted terms and conditions
      • activated_date
        • Date user activated their account (via SSO or through the welcome email)
      • account_expired
        • True (1) / False (0) if account is expired
      • account_locked
        • True (1) / False (0) if account has been locked
      • additional_photo_required
        • True/False (0/1) if additional photo is required
      • password_expired
        • True (1) / False (0) if password is expired
      • password_reset_required
        • True (1) / False (0) if password reset is required
      • enabled
        • True (1) / False (0) if account is enabled
      • person_id
        • This is the unique, CloudCard database ID that each person (regardless of org) has. It allows information to be mapped to a specific person on each table.

    • identifier
      • user identifier i.e. ID number
    • email
      • User email address
    • email_group_name
      • Email group the user has been assigned to
    • unsubscribe
      • If the user has unsubscribed from the emails
    • last_email
      • Date of last email sent to user
    • welcome_count
      • How many welcome emails sent to user
    • last_welcome
      • Date of last welcome email
    • login_count
      • How many login emails have been sent to user (sent by either “resend invite” or “reset password” buttons on user record
    • last_login
      • Date the last login email was sent
    • approval_count
      • How many approval emails sent to user
    • last_approval
      • Date the last approval email was sent
    • denial_count
      • How many denial emails sent to user
    • last_denial
      • Date the last denial email was sent
    • adhoc_count
      • How many adhoc emails were sent to user
    • last_adhoc
      • Date the last adhoc email was sent
    • good_feedback_count
      • How many good feedback emails sent to user
    • last_good_feedback
      • Date the last good feedback email was sent
    • maybe_feedback_count
      • How many maybe feedback emails sent to user
    • last_maybe_feedback
      • Date the last maybe feedback email was sent
    • bad_feedback_count
      • How many bad feedback emails sent to user
    • last_bad_feedback
      • Date the last bad feedback email was sent
    • Password Reset Count (Office Users)
      • Counts the total number of office user password reset emails sent.
    • Last Password Reset (Office Users)
      • Last time an office user password reset email was sent out.
  • Photo Data
    • identifier
      • User identifier, i.e. ID number
    • email
      • User email address
    • photo status
      • User photo status
    • photo_count
      • How many photos user has submitted
    • last_photo_date
      • Date the last photo was submitted
    • last_approval_date
      • Date the last photo was approved
    • is_last_photo_approved
      • If the last photo submitted is approved
    • pending_count
      • How many pending photos the user has
    • approved_count
      • How many approved photos the user has 
    • denied_count
      • How many denied photos the user has
    • enroute_count
      • How many enroute photos the user has
  • Office Users
    • email
      • Office user email address
    • roles
      • The roles assigned to the office user
    • role_count
      • How many roles are assigned to the office user
  • Current Photo Report
    • User Status
      • Filter if user is active or archived
    • Photo Status
      • Filter if photos are:
        • Done
        • Pending
        • Denied
        • Discarded
        • Downloaded
        • no submitted
    • Current Photo per User
      • this is where the filtered user/ photo status fields are displayed by:
        • Email
        • id_number
        • user_status
        • current_photo_status
        • photo_last_updated_date
  • Cardholders
    • This is where you can filter the not archived users
      • All_Cardholders_Not_Archived
        • Displays all active users
      • Total Cardholders (not archived)
        • Displays the numbers of active users

You can use this feature to generate a list of active users.

      • photo _status
        • User photo status
      • identifier
        • User identifier, i.e. ID number
      • email_group
        • Email group that user has been assigned to
      • person_date_created
        • Date the user was created
      • photo_date_approved
        • Date photo was approved
      • photo_date_created
        • Date the photo was created
      • download_photo_command
        • Curl command that is used to download photos
      • download_url
        • This is the the URL to access the photo on the AWS S3 database
