Send Photo Invites

The first step to using CloudCard is sending out photo invites. If you're into videos, here is one right at the beginning that explains the whole process!


There are two ways to create users and send photo invites.

1. Bulk Import (Click here for for more information about Bulk import)

Bulk import allows you to create users and send photo invites in batches. This is the primary way organizations send out invites because it's efficient. They can send out large amounts of invites at one time.

Select the people tab and click bulk import

CloudCard will ask you to upload a CSV file. This file will contain the users who you would like to receive the photo invite

Typically this file can be generated through tools within your organization. You might have to do a little editing to narrow down the header rows in your CSV file. The only header rows required for CloudCard are "email" and "ID number". Whatever else you choose to include is the information that you will be able to search for in CloudCard. Once you have selected the CSV file, click upload. Two things will happen: 

  1. The users included in the CSV will be created in the system. 
  2. Photo invites will be sent to those users. 

Now you can sit back and relax as photos from your cardholders start to show up in CloudCard! 


2. Add Individually

Another way to add users and send out photo invites is individually. Once you select the people tab click "add," as shown in the image below. 

You will be prompted to input the users email that you would like to add to the system. As soon as you click "save," the user will be created and an invite will be sent out to the user via email, asking them to upload a photo for their ID picture. 

The welcome email that the user receives could look something like the image below. (note: the welcome email can be fully customized to match whatever look you are going for)

What are the use cases for adding people individually? 

  • A cardholder walks into the office who has not been added to the system through Bulk Import
  • A cardholder emails your card office claiming they did not receive an email to upload a photo. If you can't find them in the system, add them individually. 
  • There are probably other use-cases as well!
